SwellDesk is a product of Swell & Stack Co. LLC, doing business as Swell & Stack Co., a Wyoming limited liability company ("we," "us," "SwellDesk"). Registered address: 30 N Gould St, Ste R, Sheridan, WY 82801, USA. For anything privacy-related, email [email protected].
Serving the Philippines from the United States. Many SwellDesk clinics are in the Philippines, but SwellDesk is operated entirely by a United States company. We have no Philippine entity, office, or local presence. The service is provided from the U.S., and data is processed on U.S. and international infrastructure as described below.
Clinic (customer) information. When a clinic signs up or contacts us, we receive the business name, the contact person's name, email, phone, and the details needed to configure the AI receptionist for that clinic.
Patient conversation data. The core of SwellDesk is a chat assistant on a clinic's website. When a patient (an end user) chats with it, we process the messages they send and any details they choose to share — typically their name, phone number, and the service they're asking about. This is used to answer the patient and to forward the inquiry to the clinic. The clinic, not SwellDesk, decides how it uses those inquiries afterward.
AI processing. To generate replies, conversation text is sent to third-party large-language-model providers (currently Groq) that run the AI model. They process the text to return a response and do not use SwellDesk conversations to train their models under our arrangement.
Analytics & security. We use standard web analytics to understand usage (pages, approximate country/city from IP, device/browser). The service is served through Cloudflare, which processes IP and request data to block attacks and speed up delivery. Server logs (IP, timestamp, request) are kept briefly for security and debugging.
Payments. Clinic subscriptions are billed by card through Stripe or paid manually by GCash. We never see or store full card numbers — Stripe handles card data directly. For GCash we receive only the reference confirming payment.
We don't sell personal data. We don't run advertising trackers. We don't share information with anyone except the service providers below, who process it only to run SwellDesk.
Groq (AI responses), Cloudflare (hosting/security), Stripe (card payments), our infrastructure host, and our transactional email provider (receipts and inquiry forwarding). Each processes only what it needs, under its own terms.
Clinic account and billing records: as long as the account is active and as long as tax and accounting law requires afterward. Patient chat transcripts: kept only as long as needed to deliver the inquiry to the clinic and to operate and improve the service, then deleted or de-identified on a rolling basis.
Want to know what we hold about you, correct it, or have it deleted? Email [email protected] and we'll handle it, usually within a few days. Patients should contact the clinic they messaged first, since the clinic controls how it uses inquiries; we'll assist the clinic on request.
SwellDesk is for businesses and isn't directed at children under 13.
